Exhibitor Information

Thank you for your interest in exhibiting, advertising, or sponsoring at WATESOL 2019! Your professional services provide a valuable resource for the attendees, and we are excited to include you in the program. Please read below for information about our conference and participating as an exhibitor, advertiser, or sponsor.

Conference Information

The Pryzbyla Center at Catholic University is located at 620 Michigan Ave NE, Washington, DC 20064. A campus map is available here. Parking will be available in a large surface parking lot next to the Pryzbyla Center for approximately $10.

We are pleased to have a new conference and exhibit space for this year’s event. The morning plenary, breakfast, and lunch will all take place in a large ballroom, with additional breakout rooms within the same space. Exhibitors will be set up directly outside the ballroom entrance for the convenience of our conference attendees. Throughout the course of the day, exhibitors can expect 200+ conference attendees to frequently pass through the Exhibitor Space -- which will maximize your table’s impact! In addition to visiting the Exhibitors before and after meals and sessions, conference attendees will be encouraged to visit Exhibitors during a dedicated afternoon time with coffee and refreshments.

8:30 – 8:45 “Welcome” address from Gold Sponsor (ballroom)

8:45 – 9:00 President’s Welcome & Intro to Keynote (ballroom)

9:00 – 9:45 Keynote Speech (ballroom)

10:00 – 10:45 Concurrent Session 1 (conference rooms)

11:00 – 11:45 Concurrent Session 2 (conference rooms)

12:00 – 1:15 Lunch and Plenary Address (ballroom)

1:30 – 2:15 Concurrent Session 3 (conference rooms)

2:30 – 3:15 Concurrent Session 4 (conference rooms)

3:30 – 4:00 Exhibitor Visits, Poster Sessions, and Afternoon Coffee Break (ballroom)

4:15 – 5:00 Concurrent Session 5 (conference rooms)

5:00 Exhibitors’ portion of the conference concludes with a raffle.

If you have items available for the raffle, we are happy to collect them and include in the raffle.

Exhibitor, Advertiser, and Sponsor Options

We are pleased to offer a number of options for companies and organizations to participate in the WATESOL Conference:

• Exhibitor Packages include options for tables in the Exhibitors’ Hall, conference presentations promoting your products and services, and advertisements in the conference program and website.

• Advertising Packages include options for full or half-page advertisements in the conference program, website, or attendee folders.

• Sponsorship Options provide opportunities to promote your company or organization through the distribution of promotional materials or the sponsorship of conference meals and refreshments.

Exhibitors’ Packages

We offer a variety of Exhibitor Packages to meet your needs. If you have any questions, please contact us at vicepresident@watesol.org. 

In keeping with our mission, we aim to ensure that there are adequate presentation slots available to practitioners of the WATESOL community to share best practices and current research. As such, presentation slots for Exhibitors will be available on a first-come, first-served basis subject to availability.

Advertising Packages

Sponsorship & Promotional Options

If you would like to advertise in our Conference Program but will not send representatives to the conference, we offer several options. If you have any questions, please contact us at vicepresident@watesol.org.

Your organization’s promotional items for attendees (e.g., pens, notebooks, magnets, etc.)	$300	We will place your promotional items in the conference bags that each attendee will receive. Items must be received by WATESOL by September 27 for placement in conference bags.
Breakfast sponsorship	$300	We will place your company’s advertising materials next to the conference breakfast tables. Materials must be received by WATESOL by September 27.
Lunch sponsorship	$500	We will place your company’s advertising materials next to the conference lunch tables. Materials must be received by WATESOL by September 27.
Afternoon coffee break sponsorship	$200	We will place your company’s advertising materials next to the afternoon coffee tables. Materials must be received by WATESOL by September 27.

 

Registration and Payment Instructions for Exhibitors, Advertisers, and Sponsors

Register as an Exhibitor

Please complete the Exhibitor Registration Form available on the WATESOL 2019 Conference Website. We will send you an invoice once your registration form has been received. Payment is requested within 15 days of receipt of invoice. Gold, Silver, Bronze, and Basic Exhibitor Packages will be assigned on a first-come, first-served basis, based upon receipt of full payment following invoice.

If you reserved and paid for an exhibitor’s table, you will receive:

• A table for your materials (please bring your own tablecloth)

• Access to an electric outlet if you requested one

• Name badges for representatives for which you registered (this gives all registered exhibitors access to breakfast and lunch)

If you reserved and paid for a presentation slot or advertising package:

• You will be contacted for information to include in our Conference Program and on the website in accordance with your registration package.

Notes:

• Please bring your own cart to carry exhibition materials. Unfortunately, the conference center will not be able to provide us with those.

• Materials CANNOT be sent ahead of time to the conference venue; all materials must be brought with you to the conference. There is NO overnight storage of materials.
